Adding Inventory to an Offer

Add Inventory to Offers so Channels know how many tickets to sell

What is Inventory?

Inventory is defined at the offer level and is the number of tickets that can be sold for an offer. Depending on how the schedules are set up for a product, the inventory could be the same for a whole year or could have different inventory for weekdays and weekends. The inventory could also reflect between summer and winter schedules. 

Example

  • A product with max capacity 200 is combined with an option with max capacity 10, you would set the Offer Inventory to 10. The remaining 190 could be used up for an offer without an option or another option 
  • A product is available all year for 50 travelers at the weekend and 25 during the week, this requires 2 schedules, one for the weekend and one for weekdays and the inventory can be assigned accordingly

What you need to add Inventory

Please note that you are required to add an Inventory Set to offers with unlimited capacity as well, however, you will not be able to edit it and change the Offer Inventory. 

 

Adding Inventory

From the Pricing & Inventory menu on the left, select the Inventory tab and +Add Inventory.

 

Type the offer name in the Search field or display a list of offers clicking on the triangle in the Search field. Select the offer and the Add Inventory Sets screen displays.

Inventory Set Name: the name could be in line with the schedule and pricing set names. 

Schedule: select a schedule build earlier or the default schedule

Days & Times: pre populated from the schedule 

Inventory Set Effective Range: pre populated from the schedule but can be changed to a range within the schedule 

All Traveler Types Max Capacity: the capacity defined at product level. If the offer consists of both product and option, the lowest number displays

Offer Inventory: define the sellable tickets for the offer here

Please note that the Offer Inventory can never be higher than the max capacity. 

Select Done to save the changes.

 

Editing and Removing Inventory

From the Pricing & Inventory menu on the left, select the Inventory tab, type the offer name in the Search field and select View. Click on Edit. 

 

You can edit the inventory sets after publishing has taken place and change the capacity number under Offer Inventory, however to update a specific date you can only do via the Availability Statuses page - more info

Alternatively, you can set the Offer Inventory to 0 or remove the Inventory Set completely by selecting Remove.
