View Availability to know the remaining Inventory

What is Availability

Availability is the remainder of the original inventory value assigned to an offer. The Inventory assignment during the inventory set creation, dictates the quantity that can be sold. As sales are made the remaining that can be sold will be reflected in the availability statuses page.

Example:

  • The max capacity for an offer is 20, there are 16 tickets sold already, the remaining availability is 4

Checking Availability

From the Pricing & Inventory menu on the left, select the Availability Statuses tab and type the offer name you wish to check availability for in the Offers search box.

 

Once you have selected the offer, the Availability Status calendar displays defaulting to the current year. 

Availability Status Details

  • No colour: offer did not have inventory set and therefore no availability to show
  • Blue: offer has availability for all or some time slots
  • Red: offer sold out for all time slots
  • Black: day was blacked out and therefore unable to be sold

 

Change the selection from Year to Month in the highlighted toggle box.

 

The month display defaults to the current month, use the arrows to move to June.

 

Select a date to get more details. In this example, we will look at the 22. June.

The detail section on the right for the 22. June show the Schedule and Inventory Set in use as well as a list of slots available that day. 

For each time slot, the availability status is detailed 

  • Inventory: max inventory set for the time slot that day
  • Sold: how many tickets were sold already
  • Remaining: how many tickets are left to sell

 

Let’s look at another example: 24. June

It is possible to block the sale of tickets for a whole day or a specific or multiple time slots by adding a Blackout. If all time slots get selected for a day, the Blackout is automatically set for the whole day. 

Click on the radio button to add the blackout and to release it.

 

In this third example for the 2. July, the calendar shows availability in the calendar view, however, when clicking into a specific day, it shows there is availability only for two time slots and the third is sold out. 

 

If due to sales done offline, there are only 2 tickets remaining for an offer for a specific time slot, the Remaining inventory can be manually overwritten. Select the correct time slot and click on Edit. 

 

Type 2 in the Remaining field and click Save. 

 

The difference will show under the Sold tickets.
