Creating Products with Schedules

Products are the foundation for Offers

What are Products?

Products are mostly unchanging entities and are foundational to an Offer which is connected to a Channel and sold.

What you need to set up a Product

  • Primary Location

Creating a Product

From the Products menu on the left, select +Add Product.

 

In the Product Details section of the Add Product screen, add a Product Name, assign Traveler Types and add a Description. 

Primary Location

This is the supplier of the product that you are creating. If you have multiple locations or venues for your product, you are able to set up multiple locations, which you can then assign to be a primary location. Each primary location has its own Supplier ID which is a unique identifier. 

Example: If your company is an African Safari Tour Company and you had two Suppliers for two products, you would set up two locations. When building the products for each, you would select one primary location for one product and the second primary location for the other product. 

  • Primary Location 1:  Addo Elephant National Park
  • Primary Location 2:  Mountain Zebra Park

Timezone

Select the time zone of the product. 

Reservations Contact

The contact added here will be the recipient of all booking confirmations. 

Please note, if no reservation contact is added at the product level, no one will receive booking confirmation emails.

 

In the Redemption Details section, the delivery value of the tickets is defined.

Delivery Method

  • Single bar code per traveler: one QR code per traveler
  • Single bar code per booking: one ticket that includes the QR code for multiple travelers booked at the same time

Capacity Type

  • Freesale: unlimited number of tickets to sell. Products like a Wildlife Park or a historic monument like Statue of Liberty cannot sell out, regardless of the traveler type 
  • Limited - Pooled: there is a defined max capacity, once it is reached, the products like safaris and concerts can sell out 
  • Limited - Per Traveler Type: the max capacity is set on each traveler type, once it is reached, the product for this traveler type is sold out. This could be used for a cruise which is equipped with an amount of adult life jackets and only half the amount of child sized like jackets

Please note, in this section you are just providing the max capacity for the product. You will set the sellable inventory later in the process. However, once this is selected and defined it cannot be changed.

Select Next.

 

Location Details 

The Departure Address, Arrival Address and potential Stops at specific landmarks are not mandatory but informative fields and could be useful for walking tours or whale watching boat tours that meet at a specific point and drop off at the same point or another location. 

Select Next.

 

Policy Details

This section allows you to set whether the product will be refundable or cancellable after the booking is made and define a cut off for bookings, which means bookings can only be made up until the defined days, hours, minutes. You can also set a booking cut off time frame, which will prevent a booking being made inside that window of time. 

Once defined, select Next.

What are Schedules?

Schedules are set at product or option level and help define the dates and times a product or option is available to be booked. You will also use the schedules to assign different Pricing and Inventory Sets to. If working with different schedules, it will be helpful to give them distinct names in order to pair them up easily with the Pricing and Inventory Sets. 

Schedules can be created during the product creation, or you can return to the product later and add the schedule. You can remove a Schedule, but it is not possible to edit an existing one. 

Example

The product is available starting today: today’s date with an  end date of 31. Dec 2025:

  • First Schedule Name: Winter 2023 / 2024 - today’s date to 30. April 
  • Second Schedule Name: Summer 2024 - 1. May 24 to 31. Oct 
  • Third Schedule Name: Winter 2024 / 2025 - 1. Nov 24 to 30. April 
  • Fourth Schedule Name: Summer 2025 - 1. May 25 to 31. Oct 2025
  • Fifth Schedule Name: Winter 2025 - 1. Nov to 31. Dec 

You could further divide the schedules to weekend and weekday, where the start times might differ or only have the schedules include Saturday and Sundays. In some cases the schedules might contain the same start times, but you still want to create a separate one for Saturday and Sunday because the price might be higher than during the week. 

For some products, schedules might not be necessary, for example:

  • Products with Capacity Type Freesale 
  • Products without specific time slots 

If no schedule is created, a default schedule with default times and days (00.00 hrs to 23.59 hrs Monday-Sunday) will be used for assigning pricing. 

 

Setting up a Weekend Schedule

Search and view the product you would like to add the schedule to and select Add Schedule. 

 

Select the Time Entry Mode

  • Grouped Days: this is useful for schedules that are the same for several days, for example Mon to Fri and Sat & Sun
  • Individual Days: useful for schedules that have different start times every day 

This product is only available at the weekends during the winter months. This is set up by adding the Schedule Name and your Effective Date Range, followed by selecting the days the product is available. Select Add Group. 

 

Add the start and end times for Group 1 (Sunday and Saturday). Please note that times cannot overlap, this means that if a 2 hour activity starts every 30 minutes, the end time should be set to 15 minutes after the start time. In this example, the product is available all day.

Please note that these are not the opening times of the Location. 

Once you have added the Start and End times, you could add another Group with the remaining days with the same times or different times. You could add a day at the time with different start and end times. Or your product might only be available on a Friday, then your Group would only contain the Friday. Once your start and end times are defined, Done turns blue and you can continue.

 

Setting up a Schedule with several Start Times

If the product is available every day at the same times, the schedule is set up as follows: 

  • Select Add Schedule
  • Grouped Days 
  • Add the Schedule Name, Effective Date Range and select all days of the week
  • Select Add Group

 

Add the start time of the first time slot. For further time slots, select Add More. Select Done once all time slots are added.
